Overview

This policy explains how Stagebound collects, uses, stores and protects personal data — yours, your child's, or your business's. Because Stagebound is a competition for under-18s, we pay extra attention to how children's data is handled, and we keep things as simple, transparent and protective as possible.

By using this website or registering interest in Stagebound, you agree to this policy. If you don't agree, please don't use the site or submit any details.

Who we are

Stagebound is a youth talent competition for singers and dancers under 18, based in Wigan, Greater Manchester. For the purposes of UK data protection law, Stagebound is the data controller of the personal data described in this policy.

What we collect

The data we collect depends on how you interact with Stagebound. We only collect what we genuinely need.

When you register interest as a performer or parent

  • Your name (parent or guardian, for under-16s)
  • Your email address
  • Your phone number (optional)
  • The performer's name, age and intended competition category
  • Any notes you choose to share
  • The IP address and browser type of the device used to submit the form

When you enquire about sponsorship

  • Your name and company / organisation
  • Your email and phone number
  • The sponsorship tier you're interested in
  • Any context you share about your business or goals

When you send a general question

  • Your name, email and phone
  • The content of your message

When you enter the competition

When entries officially open, we'll collect additional information needed to run the competition safely — including emergency contact details, accessibility requirements, photography & video consent, and parental consent declarations for performers under 16. This will be detailed in the official entry pack at the point of entry.

Why we collect it

We process your data on three lawful bases under UK GDPR:

Consent

When you submit a form, tick the consent box, or sign a consent declaration, you're giving us permission to contact you and to use your information for the specific purpose you've consented to. You can withdraw consent at any time.

Legitimate interest

We use legitimate interest to keep records of past enquiries, manage sponsor relationships, communicate event updates to registered interest holders, and protect against fraud or abuse of our website.

Contract

If you formally enter the competition or sign a sponsorship agreement, we process your data to fulfil that agreement — communicating about auditions, processing entries, delivering benefits, and so on.

Children & under-18s

Stagebound is built for under-18s, so we take child data protection seriously and follow UK GDPR's rules for handling minors' personal information.

Under 16: If the performer is under 16, the entry form must be completed by a parent or legal guardian. The parent/guardian is the data subject for communication and consent purposes. We won't accept entries from under-16s without verified parental involvement.
16–17: Performers aged 16 or 17 can complete the entry form themselves, but a parent or guardian's contact details are required for emergency contact and safeguarding purposes.

What this means in practice

  • We don't market directly to children — communications about the competition are sent to the registered parent/guardian for under-16s
  • Parents/guardians can request access to, correction of, or deletion of their child's data at any time by emailing hello@stagebound.co.uk
  • We delete a child's personal data on request — except where we're required to retain it for safeguarding, legal or insurance purposes

Photography & video

Stagebound captures photos and video footage at auditions, semi-finals and the grand final, and uses that footage in its own marketing, social media, website, partner promotion and press coverage.

When you (or a parent/guardian on behalf of a child) enter the competition, the entry form includes a clear photography & video consent declaration. By signing that declaration, you agree to:

  • Stagebound capturing photos and video of you (or your child) at all stages of the competition
  • Stagebound using that footage in marketing, social media, partner content, press releases and website
  • Sponsors and media partners using approved footage where this has been agreed

You can withdraw photography consent at any time before the audition by emailing us. After the audition, you can request that specific photos or video clips of you are no longer used — we'll remove them from anything we control, although we can't always recall content that's already been published or shared by third parties.

Sharing your data

We don't sell your data, ever. We share it only with the trusted suppliers we need to run Stagebound:

  • Email delivery — Postmark / Fluent SMTP, to send you confirmations and communications
  • Website hosting — Hostinger, who host this site and database
  • Analytics — Google Analytics, where used to understand site usage in aggregate
  • Payment processing — when entry payments are introduced, we'll use a reputable payment processor (likely Stripe) and disclose this at the point of payment
  • Venue, judging and event partners — limited information required to run the competition safely (e.g. emergency contact details shared with venue safeguarding leads on event days)

We don't share your data with sponsors, advertisers or unrelated third parties. Where we share data with a supplier, we make sure they have appropriate data-protection measures in place.

Cookies

This site uses a small number of cookies to make it work properly and to understand how it's used.

Essential cookies

These are required for the site to function (e.g. remembering your cookie preference, keeping you logged in to admin dashboards). They're set without needing consent.

Analytics cookies

If we use Google Analytics or similar, those tools may set cookies to track aggregated, anonymous usage data — pages visited, time on site, geographic region. This helps us understand what people find useful. You can opt out via your browser settings or the cookie banner.

We don't use marketing cookies, behavioural advertising trackers, or third-party tracking pixels.

How long we keep your data

We don't keep your data longer than we need to.

  • Interest registrations: kept while you remain interested in the competition. Removed on request, or 24 months after your last interaction
  • Performer entries: kept for the duration of the competition cycle plus 12 months for safeguarding and dispute resolution. Photo/video media may be retained longer for marketing of future events, subject to consent
  • Sponsor records: kept for 7 years after the end of the commercial relationship, in line with HMRC requirements
  • General enquiries: kept for 24 months unless you ask us to delete sooner

Your rights

Under UK data protection law, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Correction — ask us to correct anything that's inaccurate or incomplete
  • Erasure — ask us to delete your data (subject to legal obligations to retain)
  • Restriction — ask us to stop processing your data while a question is resolved
  • Portability — request your data in a portable, machine-readable format
  • Objection — object to processing based on legitimate interest
  • Withdraw consent — at any time, for anything you previously consented to

To exercise any of these rights, email hello@stagebound.co.uk. We'll respond within 30 days. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Security

We take reasonable steps to keep your data safe — encrypted transmission (HTTPS), access controls on our admin systems, and trusted infrastructure providers. No system is 100% secure, but we work to minimise risk.

If we ever become aware of a breach affecting your data, we'll notify you and the ICO as required.
